Job Summary:
Flagship organizes a large number of thought leadership conferences, summits, and events for internal and external stakeholders throughout the year. We are seeking a Contract Event Project Manager to join the Communications and Public Affairs team at Flagship Pioneering helping coordinate and manage projects and events. The successful candidate will be a super organized, detail-oriented, proactive problem solver, able to work independently across multiple projects simultaneously. This individual will play a critical role in a dynamic team executing exciting and fast paced work. This position is contract full-time position and based in Cambridge, Massachusetts reporting to the Head of Events and Brand Experience. This highly skilled event project manager will be responsible for overseeing key tasks throughout the event planning and management process.
A Successful Candidate Will
- Work closely with the Head of Events to support the planning and execution of select events, owning key aspects of various events from start to finish
- Support multiple events and creative content projects simultaneously with creativity and close attention to detail
- Support the development of creative content for events
- Develop and maintain relationships with varied internal and external stakeholders to achieve the goals of each event and initiative
- Gain a complete understanding of the requirements for each event, ask questions, and jump in
- Be self-motivated in a fast-paced environment
- Research vendors and venues and make recommendations based on creativity, quality, and cost
- Oversee event registration processes and guest lists
- Manage day-to-day administration of events planning
- Oversee vendors as needed
- Attend events and oversee key tasks and assignments as directed
Qualifications:
- Bachelor’s degree required
- 3+ years successful event planning, administrative, coordination, and/or project management experience in a fast-paced corporate environment
- Critical thinking with keen attention to detail, organized and able to seamlessly multitask
- Effective time management, organization, and prioritization skills in managing multiple projects with proven ability to meet tight deadlines
- A "roll-up-your-sleeves" entrepreneurial attitude taking initiative to accomplish short and long-range projects
- Proficient in Microsoft Office (Outlook, Word, PowerPoint, Excel) and strong facility with PowerPoint strongly preferred
- Proven experience in event planning or event coordination in a corporate environment
- Excellent communication skills including strong writing skills, an attention to detail, and ability to effectively multi-task with a willingness to perform a wide range of tasks
- Comfortable interacting with colleagues at all levels demonstrating tact and discretion
- Comfort with and willingness to learn new software and platforms as needed
- Ability to handle competing and/or tight deadlines
- Interest in learning new content areas and ability to quickly engage with new concepts and ideas
- Interest in Flagship’s mission and areas of work
- Consummate team player, with excellent judgment and the ability to work well with a distributed team and independently
