THE ROLE:
We are looking for an experienced HR Specialist to join our growing team which is part of the Global HR Shared Services Organization. As a contributor, you will be involved in ensuring the smooth running of our HR Shared Services. This Individual Contributor role will hold responsible on all HR operations matters within our Japan and Korea offices and the role reports into the APJ Regional Operations Manager, who is based outside of Japan.

KEY RESPONSIBILITIES:
- Responsible for all day-to-day HR operations at Japan and Korea offices which includes full HR life cycle.
- Identify gaps in process, policies, and practices; Share market insights on the streamline the work effectively and efficiently, work with cross-functional teams to close gaps and optimize policies, processes or programs.
- The HR Operations Specialist is responsible for the accurate administration of all HR actions using established transactions procedures and guidelines.
- Partner and work closely with HR Business Partner and with HR COE on global HR projects from time to time displaying operational excellence with employee centric focus
- Provide country level HR Operations supports to Global Immigration Team on work permits cases, Global Mobility Team on employee transfer cases, Global Project Team for HR projects
- Supports and assists in audits of the HR master database. Coordinates with relevant parties to resolve existing discrepancies and prevent potential new ones.
- Administer monthly HR payroll inputs and partner with HR Service Center and payroll vendors. Partner with Payroll Team on Health/ Pension/ Childcare insurance. Provide local data to Payroll Team.
- Administer Time Management system in office and provide necessary information to HR Service Center and Payroll Team (year-end payroll adjustment and collect relevant document from employees)
- Partner with Total Rewards Team to administer and operate benefits related initiative for employees and transition the same to HR Service center
- Provide rapid, high quality and validated responses to all queries and request from employees, managers, HR functions as well as other functions. Partner with Global COEs and AskHR team to solve employee enquiries.
- Use System optimization to drive and delivers data analytics creating insight on employee queries answered and development of recommendations/action plans to improve overall process, employee support and satisfaction
- Leverage HR service center to drive scalability, drive automation and system triggers to increase efficiency of the process
- Frequently reviews and updates the SOP, internal procedures and guidelines. Governance of SOPs, HR policies and identifying needs for additional policies/procedures and changes
- Subject matter experts on country HR operation matters and responsible for any HR survey by government.
- Ensures compliance with the Data Privacy & Protection Guidelines and relevant legislation.
- Drive simplification in HR processes - both mandatory and for optimization purposes
- Improve and drive employee experience in HR areas such as onboarding, offboarding, HR and benefits policy administration.
- Ensure local legal compliance in areas such as contract and personnel file management. He/she must ensure all activities are performed in strict compliance to defined policy, procedures, employment rules, manuals, policies and country legislation.
- Drive our global HR service delivery model at local level; ensure service and process excellence.
- Provide regional requirements and feedback to ensures Global HR Ops functions and COEs (HRSC, HR technology, HR analytics) are meeting needs of region.
- Contribute to a culture of continuous improvement; be bold in driving change.
- Manage annual Medical Check-up and submit needed information to Health insurance office.
- Arrange monthly medical Doctor visit and partner with medical doctor for applicable employee Seasonal Flu injection.
- And other relevant HR Operations matters in Japan and Korea offices.
- Streamline the practices of HR operations and align with other countries of the region as much as possible
PREFERRED EXPERIENCE:
- Contract/ Fixed hire time position – one year only, 5-day work per week.
- Knowledge of HR Operation processes and policies with at least 5 years’ experience in a similar role.
- Able to communicate, read and write Japanese, Korean and English at business level proficiency.
- High attention to detail with a high degree of personal integrity and confidentiality
- Competent use of Microsoft Office applications, particularly Excel
- Experience with HR systems such as Success Factors and Oracle.
- Familiar with payroll and benefit operational processes.
- Self-starter, detail-orientated problem solver who can prioritize well.
- Excellent time management and customer-service oriented mindset, reporting skills
- Able to work with global team who come from various background and cultural.
- Experience driving operational excellence and improved employee experience
- Experience working in ambiguous and fast-paced environments
- Display high level of discretion and professionalism

ACADEMIC CREDENTIALS:
- Bachelor Degree within Business/ HR or related field is required.
- Post Graduate degree / MBA preferred.
