DeepLearning.AI is looking for an Office Manager with excellent organizational and communication skills, along with a strong attention to detail. The ideal candidate will excel in managing administrative tasks, improving office operations, and supporting team efficiency. They will thrive in a fast-paced environment and contribute to the success of a growing company by ensuring smooth day-to-day operations and fostering a productive work atmosphere. As an Office Manager you will be responsible for essential administrative tasks to optimize day-to-day activities. Specifically, you will perform a wide variety of office/operations/admin tasks, including assisting with calendar management, travel arrangements, event planning, and much more.

This is a full-time opportunity for candidates based in Taipei.

Here’s what you’ll do:

  • Ensure the office is fully operational and processes are running smoothly - including coordinate with vendors on office facilities matters (including IT services, video conferencing setup, snacks and catering, office supplies purchasing, furniture, and general repair and maintenance, etc.); track and upload receipts for related office credit card transactions; maintain and update property & equipment tracking and perform inventory count on a regular basis.
  • Provide calendar management support and business travel arrangements for the Operating Partner.
  • Assist in organizing employee onboarding and orientation processes to ensure a smooth transition for new employees.
  • Perform other general office duties, e.g. develop and organize filing systems for physical and electronic files, ensure common areas are clean and orderly, etc. 
  • Submit monthly expense reports for reimbursement or upload receipts.
  • Help with presentations, reports, and other documentation needed. 
  • Assist Senior Executive Assistant of Founder with logistics and communications for Speaking engagements/conferences.
  • Serve as backup for Senior Executive Assistant of Founder and provide support, as needed.

    Here are the skills you should have:

  • Bachelor's Degree in Business Administration, or related fields.
  • A minimum of 3 years of experience in administrative roles is required.
  • Strong written and verbal English communication and interpersonal skills.
  • Strong organizational skills that reflect ability to prioritize multiple tasks seamlessly with excellent attention to detail.
  • Computer skills and knowledge of office software packages.
  • Demonstrated ability to use good judgment and discretion in handling confidential and sensitive information.
  • Highly resourceful team-player, with the ability to also be effective independently.
  • Demonstrated ability to meet deadlines in a fast-paced environment.
  • Know how to prioritize and ask questions to do one’s job effectively.
