Monks is looking for an Office Manager.
Your primary role will be supporting the day-to-day operations of the office. You will manage administrative tasks, coordinate office activities, supervise support staff, and maintain office supplies and equipment. This is an in office role, 5 days per week.
Responsibilities:
- Primary point of contact for the office: warmly welcoming external visitors and making them feel at home with refreshments
- Prepare and facilitate video conference meetings as required, ensuring technology is set up and functioning properly
- Address and manage on-site facilities by liaising with the landlord and coordinating with service providers, including maintenance and repair professionals
- Maintain and procure office inventory including stationary, food & beverage and office technology
- Undertake daily walks of the office space to maintain a safe, secure, clean and organised environment
- Oversee incoming and outgoing deliveries, liaising with courier services including grab deliveries
- Welcoming new employees into the organisation by issuing laptops, entrance key cards, tour of the office, where to sit and how-to’s
- Collaborate with C-Suite, executive team and local People & Culture team to organise engaging client and internal events
- Partner with our IT and People teams to coordinate a fantastic onboarding and off boarding experience for our team members
- Ensure front desk operations run smoothly, implementing building access protocols for visitors and vendors
- Work with the alarm company to secure the office outside of office hours.
- Work with local and global IT to maintain and troubleshoot office and team member equipment
- Manage onsite facilities including maintenance, troubleshooting and repair of physical property, office equipment, IT systems, building access and security, building improvements, etc.
- Partner with key stakeholders including leadership, building management and others to communicate information for our team in a timely and effective manner
- Manage budgets given by the MD on office supplies, pantry and events.
About You
The Essentials:
- You possess a minimum of 3 years of relevant experience in a similar role
- You hold a polytechnic degree (or higher) in Event Management, Facility Management, Hotel Management, or a related field
- Strong understanding of SEA cultural and business norms
- Ability to communicate clearly, concisely and effectively in person and digitally with all levels of the business - with the skills to adjust your messaging content and tone depending on your audience
- In this people-facing role, you have a genuine passion for fostering a positive atmosphere and ensuring the seamless operation of our Singapore office
- You demonstrate exceptional attention to hospitality and excel at creating an inviting environment.
- You are resourceful, possess strong organisational skills, and maintain a consistently positive attitude towards achieving tasks
- You possess unlimited patience and love getting things done while being the ultimate multitasker and prioritiser
- You seek opportunities to improve overall efficiency and effectiveness of the office
- Ability to work independently, while exercising discretion and personal judgment to make decisions
- You are proficient in Google Workspace
- You have experience managing bookkeeping tasks and ensuring adherence to budgets
- You possess basic troubleshooting skills for hardware and software, including iPhones, MacBooks, Windows machines, and fundamental networking concepts.
Not a must, but a plus:
- Proficiency in other languages such as Chinese, Malay or Tamil will be an advantage
