What We Are Looking For:
Distyl is looking for a highly organized and detail-oriented Operations Analyst to manage and optimize operations for recruiting, HR processes, and office management in our San Francisco office. In this role, you will play a key part in creating a productive and welcoming environment while ensuring smooth day-to-day operations.
The ideal candidate thrives in a fast-paced environment, excels at managing multiple priorities, and has a strong passion for enabling team success through operational excellence. You will support recruiting coordination, HR operations, and office logistics, ensuring that Distyl continues to attract top talent and operate efficiently.
Key Responsibilities:
Recruiting and HR Operations:
Coordinate interview scheduling for candidates and hiring teams, ensuring a seamless and professional experience.
Support onboarding processes for new hires, including preparing documentation, managing first-day logistics, and assisting with IT setups.
Maintain accurate employee records in HR systems, ensuring compliance and confidentiality.
Assist with administering benefits and managing enrollment processes.
Collaborate with the leadership team to support key HR initiatives, such as employee engagement programs and policy updates.
Office Management:
Oversee the daily operations of the San Francisco office, ensuring a clean, organized, and welcoming environment.
Manage office supplies, vendor relationships, and facilities coordination.
Plan and execute team events, meetings, and company-wide gatherings.
Serve as the primary point of contact for visitors and external vendors.
Administrative Tasks:
Perform general administrative duties, including digital file governance (organizing Notion and Google Drive), document preparation, and email management.
Handle logistics for office lunches and team-building events.
Support compliance by maintaining and organizing company documentation and records.
Liaise with vendors and service providers to ensure smooth operational support.
Team Support:
Manage team and executive calendars, including scheduling meetings, appointments, and travel arrangements
Act as a point of contact for internal stakeholders on behalf of the CEO
Prepare reports, presentations, and meeting materials as required
Handle confidential information with discretion.
Qualifications:
Experience: 1-3 years in a role focused on recruiting coordination, HR operations, office management, or administrative support, ideally in a startup or fast-paced environment.
Skills: Strong organizational and time-management skills, with the ability to manage competing priorities and handle confidential information.
Attention to Detail: Exceptional attention to detail, ensuring precision in all tasks and processes.
Communication: Excellent verbal and written communication skills, with the ability to collaborate effectively across teams.
Problem-Solving: A proactive and resourceful mindset, with a knack for identifying and resolving operational challenges efficiently.
