Position Overview
We are seeking a Part-time Administrative Assistant to perform a variety of administrative and clerical tasks. As an Administrative Assistant, you will report to the Executive Assistant and provide organizational support across the company. In addition, you will maintain the office and perform receptionist duties as needed.

Key Responsibilities

Mail Services:
Process inbound and outbound accountable and flat mail/packages, sorting by recipient/department using manual or electronic tracking procedures.
Perform duties related to the shipping and receiving of materials, including packaging and sealing shipments.
Prepare commercial invoices for international shipments.

Office/Admin Services:
Prepare and submit expense reports for various Executives.
Ensure office security by following safety procedures and managing access via the reception desk (e.g., issuing visitor badges and office access cards).
Perform receptionist duties, such as greeting guests and maintaining the reception area, meeting rooms, and kitchen.
Assist with ad hoc projects and light administrative tasks as needed.

Departmental Admin Services:
Assist with invoice set-up and contract management for the department.
Prepare and submit departmental expense reports.
Provide general administrative support for departmental needs.

Key Skills & Qualifications
Strong written and verbal communication skills.
Ability to adapt and collaborate with team members as priorities shift.
Excellent multitasking and time-management skills, with the ability to prioritize tasks effectively.
Strong problem-solving abilities and the capacity to remain resourceful and proactive.
Ability to maintain confidentiality and uphold strict security standards.
Proficiency in Microsoft Office Suite and Microsoft Teams is required.

Required Qualifications
High school diploma (or equivalent) required.
Punctual, dependable, reliable, and consistent.
Ability to work efficiently, accurately, and independently.
Proven work experience as an Administrative Assistant or in a similar role.
Proficiency in Microsoft Office Suite and Microsoft Teams.

Working Hours
Part-time, 4-5 hours per day, 3 days a week with some flexibility in scheduling.
