Semi Senior Operations Coordinator
We are seeking an experienced and dynamic Semi Senior Operations Coordinator to join our team on a large-scale, US based automotive client. The ideal candidate will have 3 years of operations (or adjacent) experience within an advertising agency or a related field. This is an exciting opportunity for someone who wants to build processes from the ground up and contribute to a bespoke delivery center of excellence. This role requires someone with a passion for attention to detail and process documentation.
Key Responsibilities
- Set up and maintain all internal tools and systems to ensure consistency and accuracy across the entire client portfolio
- Oversee the creation and organization for all projects, ensuring that all necessary documentation is complete and up-to-date
- Develop and implement standard operating procedures (SOPs) for internal workflows, ensuring consistency and efficiency across the client engagement
- Assist with financial aspects of projects, including time tracking and burn reporting
- Coordinate with department heads to allocate resources for special projects effectively
- Liaise with project management team to help manage retained team capacity
- Maintain and organize internal databases and project management tools to ensure all team members have access to current and accurate information.
- Ensure compliance with internal policies, industry standards, and regulatory requirements. Prepare for and support internal and external audits as needed.
- Assist with generation of any ad hoc reporting needs as it relates to the data stored in our internal systems and tools
- Collaborate with internal teams to streamline communication and enhance overall operational efficiency.
- Foster a culture of continuous learning and improvement
Qualifications:
- Bachelor’s degree in Marketing, Advertising, Business, or a related field.
- Previous agency experience strongly preferred
- 3 years of operations or adjacent discipline (such as project management or client services) preferred.
- Strong understanding of advertising and marketing principles.
- Excellent leadership, communication, and interpersonal skills.
- Proficiency in project management software and tools (e.g., Monday.com and / or JIRA strongly preferred).
- Strong problem-solving skills and the ability to make decisions under pressure.
- Detail-oriented with exceptional organizational skills.
- Ability to adapt to a fast-paced, dynamic work environment.
