About the Role
We are seeking an experienced and organized Workplace Events Program Manager to join our team! This person will be a crucial member of the Workplace Events team to keep our team coordinated across stakeholders, vendors, and partners, and build processes to help scale our Workplace Events Program around the world. As the Workplace Events Program Manager you are a special person who is scrappy and can work in an extremely fast-paced environment, while also being detail-oriented and operations-minded. You will partner with key cross-functional teams across the entire company to build and support a wide variety of internal and external facing events in our offices. You will connect our team to the main workplace support teams such as catering, AV, facilities tech and build playbooks/processes to allow us to scale workplace events around the world. You are comfortable working with a wide range of organizational tools such as Asana, Jira, Google docs/calendar, Airtable etc.
This role demands a proactive and organized professional who thrives in a fast-paced environment and is adept at managing multiple projects simultaneously. Experience in building and fine-tuning program processes across a wide range of stakeholders and support staff is important, as well as an understanding of organizational tooling and processes. This person will report directly to the Workplace Events Senior Manager.
This role is based in San Francisco, CA and will be in office 5 days a week.
Key Responsibilities:
Manage and operationalize the overall Workplace Events process from beginning to end - this includes building and running processes for event intake, booking/scheduling, tooling, and stakeholder communication
Develop and refine event processes and strategies to ensure seamless execution and continuous improvement as we scale event numbers
Collaborate with internal stakeholders and external vendors to meet event objectives and ensure a high level of satisfaction among participants.
Manage budgets and timelines for events
Assist in scaling OpenAI’s workplace events globally by developing and documenting replicable event strategies, processes and playbooks
Develop event success tracking through participant feedback and other relevant metrics, making data-driven recommendations for future improvements.
You might thrive in this role if these describe your qualifications:
3+ years of program management or project management, ideally in a workplace operations team
Strong organizational and project management skills, with a proven ability to handle multiple events simultaneously
Proactive self-starter with experience building/running processes and playbooks
Can roll up your sleeves and get things done but also be able to plan for the future and develop processes using organizational planning tools
Excellent communication and interpersonal skills, capable of working effectively with team members at all levels.
Creative thinker with a keen eye for detail and a commitment to delivering high-quality, memorable events.
Proficient in google calendar/docs, Asana, Notion, Google Docs/Calendar and other event management tools
