About the Role

We’re looking for an Executive Assistant to support leaders within our Technical Organization by coordinating their calendars and meeting schedules, planning offsites, and providing light project management support.

This role is based in San Francisco, CA. We use a hybrid work model of 3 days in the office per week and offer relocation assistance to new employees.

In this role, you will:

  • Support leaders in our tech org.

  • Have a macro view on how teams work together and will identify efficiencies that can be created to unlock deeper collaboration in order to accelerate our ability to achieve our mission.

  • Act as a confidante and strategic partner to our leadership staff by ensuring their time is spent on the most leveraged activities.

  • Make recommendations regarding time management, prioritization, and delegation.

  • Coordinate meetings and clear conflicts for our senior leadership team; ensure critical meetings aren’t missed or delayed and are prioritized accordingly.

  • Arrange flight, hotel, car, and restaurant reservations for members of this group and perform other administrative tasks as needed.

  • Work with our recruiting team to coordinate interviews for technical/business leaders and collect their timely feedback.

  • Work on special projects on an as-needed basis.

 

You might thrive in this role if you:

  • You have 5-7 years of experience in an executive support role or similar support function.

  • You've worked with technical or business leaders and supported multiple leaders in the past.

  • You’ve worked in a high-growth startup, investment banking, or similar environment.

  • Managed and optimized extremely busy calendars.

  • Detail oriented - they have set up good systems to actually manage work; it’s not a personality trait but functional skills, like mastery of Asana, bullet-system, etc.

  • Strong communication - being able to tailor a message appropriate to a specific audience (writing an email to a Senator vs. a Customer vs. an Exec)

  • You understand the balance between transparency and confidentiality.

  • Humility/diplomacy - this role has the potential to accrue power in a unique ways, but we want this person to be decisive and make noncontroversial decisions

  • Very fluent in Google Calendar, Docs, Sheets, Gmail, etc. and other modern productivity software, and are excited to learn and use new tools.

  • Genuine interest in the technology we’re building and the transformative potential of AI
