Payroll Specialist

Scale AI is seeking a highly motivated Payroll Specialist who can take ownership of all aspects of the payroll function, and help lead the payroll function as we continue to rapidly grow and expand domestically and globally.

The ideal candidate is highly customer focused, has excellent interpersonal and communication skills, and has a demonstrated ability to build cross-functional relationships.  The candidate will have demonstrated experience managing multi-state payrolls and have an excellent understanding of payroll laws and regulations.

You will:

  • Prepare, process and reconcile a semi-monthly full cycle US exempt payroll for 500+ employees including but not limited to: imputed income, garnishments, benefits, taxes and off-cycle requests while ensuring compliance with Federal, State and local regulations.
  • Prepare process and reconcile a bi-weekly non exempt payroll including but not limited to an accurate review of time card reporting compliant with multiple jurisdiction labor laws, monitor the administration of the electronic timekeeping system, setup each employee, validate changes, and adherence to FLSA, monitor submissions of approved timesheets, ensure valid data content to/from payroll service.
  • Ensure the accuracy of payroll, including but not limited to: base pay, bonuses, equity, compensation, commissions, payroll taxes, employee changes, new hires, 401K, medical leaves, garnishments, H.S.A. and other deductions.
  • Manage workflow to ensure all payroll transactions are processed accurately and timely
  • Prepare monthly payroll journal entries for month end closing cycles
  • Maintain employee confidence and protect payroll operations by keeping information confidential
  • Work closely with the HR team on cross functional projects
  • Properly file and maintain HR and payroll files
  • Resolves payroll discrepancies by collecting and analyzing information
  • Communicate with employees and others in a professional and courteous manner while maintaining strict confidentiality of all information



Ideally you’d have:

  • Bachelor’s Degree from an accredited, four year college or university, or equivalent experience. 
  • Minimum 3 years of Payroll experience at a international company
  • Strong Excel skills
  • Attention to detail and accuracy with the ability to prioritize and work in a fast paced environment that quickly changes
  • Interpersonal (verbal and written) communication skills
  • Organizational, multi-tasking, and prioritizing skills
  • Decision-making, problem-solving, and analytical skills
  • Desire to work in a team environment



Nice to haves:

  • Deep knowledge of the full life cycle of payroll processing
  • Proven experience in implementing and maintaining best in class payroll controls, including in a SOX environment
  • Experience with NetSuite and ADP WFN

 

The base salary range for this full-time position in our hub locations of San Francisco, New York, or Seattle is $88,000 - $105,600. Compensation packages at Scale include base salary, equity, and benefits. The range displayed on each job posting reflects the minimum and maximum target for new hire salaries for the position, determined by work location and additional factors, including job-related skills, experience, interview performance, and relevant education or training. Your recruiter can share more about the specific salary range for your preferred location during the hiring process. Scale employees are also granted Stock Options that are awarded upon board of director approval. You’ll also receive benefits including, but not limited to: Comprehensive health, dental and vision coverage, retirement benefits, a learning and development stipend, and generous PTO. Additionally, this role may be eligible for additional benefits such as a commuter stipend.
